Application Procedure

One of the major challenges in free mover exchange studies has been the complexity of the application procedures. However, this is not the case with study programs represented by AE, because we have standardized the application procedures and made the student approval at our partnership universities as straightforward as possible.

General

There are typically two application periods for each partner university per year. The application periods end 3 to 4 months before the study programs begin, and the application periods for the next programs open immediately after the previous ones have closed. So, if the study programs in the upcoming spring semester are too soon, you can wait for a while and apply for a program which starts in the following autumn semester. Application deadlines are announced on our website in the section under each study program.

Application Procedure steps

Applying for study programs represented by AE is very simple. All you have to do is fill out a program-specific application form and submit it online with the required attachments.

1. You can find the program-specific application forms listed above or under each study abroad program on the AE website (e.g. “Study Programs” → “Phuket, Thailand” and click on the link).

2. You will receive an initial letter of acceptance from AE by email within a week of sending in your application and this will confirm your place in the study program. However, if for some reason or another you’re not able to participate in the study program, you can cancel your participation by email (info@asiaexchange.org) at latest one month before the start of the study program in accordance with the terms and conditions.

3. The applications are handled in the order they are received. After receiving your initial letter of acceptance within a week of sending in your application you can make a study plan to present to your home institution and apply for a scholarship. Your study place is certain at this point. If you are studying at an institution of higher education, your home institution is responsible for making the decisions about transferring credits and granting scholarships. We will send you the invoice for the application fee (50 €) with your initial acceptance letter. You will receive the final invoice for the program fee 45 days prior to the start of the study program.

4. You can apply for a visa after AE sends you the official acceptance letter from the host university, approximately one month before the start of the study program. Acquiring a visa usually takes a few days. You can find information about applying for a visa on our website under Instructions → Passport and Visa.

We recommend booking your flights well in advance before the start of the study program. More information under Instructions → Traveling.

After the application deadline closes, AE will send outgoing students an orientation guide by email. It includes information about practical matters, accommodation, orientations etc. An orientation will be arranged at the location and students can also take part in possible orientations arranged by their home institutions.

5. Go!

Practicalities

PLEASE
remember to enter a permanent address on your application, which will still be valid when AE sends you your official acceptance letter one month before the start of the program and the transcript of records after the program ends. If you’re not sure what your address will be after the end of the study program you can enter e.g. your parents’ address in your application. You will need your official acceptance letter to apply for a visa for the country where you will be studying.

You can find more information about applying for a visa from our website under
Passport and Visa
and from the websites of each country’s embassy:

Thailand: Royal Thai Embassy
China: Chinese Embassy
Indonesia: Republic of Indonesia

Students who take part in study programs represented by AE are regarded as free movers. Free movers don’t go on exchange through their home institutions’ exchange agreements, but arrange a study place abroad on their own. Traditionally free movers are expected to gather the required information, take care of all the practical matters and complete the application procedure independently. However, in the programs represented by AE, the necessary procedures have been standardized and applying for a study program is very easy. Students going on exchange via AE are looking for study abroad places at Asian universities and just like other free movers, they are eligible to enquire about transferring credits and applying for free mover scholarships from their home institutions.
